How to explain a hair booking deposit to your clients
· The BabaCoiffure editorial team
In brief
To explain a booking deposit, state the amount requested, when it is paid and how it will count towards the service price. Show the applicable terms before confirmation and explain where clients can ask a question. Do not describe the payment as a guarantee of attendance or promise an automatic refund after cancellation. BabaCoiffure deposits require Premium; also check the information actually displayed in your booking flow.
What should you explain before requesting a deposit?
Start with the selected service: its name, displayed price, duration and location. Then explain the amount requested before the appointment and the expected balance, according to the terms actually offered. If the price depends on a detail you do not yet have, clarify it before presenting an amount as final.
Keep the information consistent across your profile, your reply to the client and the booking flow. An old saved reply may describe an amount or rule that no longer matches your offer. Read it again before reusing it.
How can you explain payment without mixing up the steps?
Distinguish an appointment request, the payment step and booking confirmation. Sending a payment link or receiving a client message does not by itself prove the appointment is confirmed. Check the information available in your tool before saying everything is complete.
If payment appears interrupted or its status is uncertain, check the situation first. Do not immediately request another payment based only on an incomplete message. Direct the client to support if you cannot establish what happened.
What should you say about cancellations and refunds?
Refer to the terms presented for that booking rather than inventing a general rule. BabaCoiffure’s public terms state that cancellations and refunds follow the terms presented when booking. Do not promise either a refund in every case or that the payment will always be retained.
If a client asks about a specific situation, read the applicable terms before replying. This guide helps you prepare your explanation; it does not define your cancellation policy or replace legal advice appropriate to your business.
Why should you avoid describing a deposit as a guarantee?
Do not promise that an advance payment prevents missed appointments or guarantees revenue. Describe the amount requested and the terms that apply. A booking may still need a conversation if the service changes or a problem occurs.
Also avoid wording such as ‘your slot is guaranteed as soon as you click’ or ‘you will automatically be refunded’. These statements confuse a client action with an outcome that must be checked in the booking flow and under the booking terms.
What should you check on BabaCoiffure before sharing your link?
The pricing page distinguishes Free from Premium: deposits are not included in Free and are a Premium feature. Inclusion does not prove that a deposit is configured for every service you offer. Check your account’s plan and the information visible for the relevant service before announcing an advance payment.
Keep your explanation focused on what the client will actually see. This guide does not describe a default amount, a payout delay or an automatic refund rule. Check current pricing and the displayed terms if your question concerns those points.
A message to adapt to your booking
‘Before confirming, check the amount requested when booking and the terms displayed for this service. Also check the total price and expected balance. If you have a question about cancellation or payment, message me before continuing so we can read the applicable information.’ This example states no amount and does not create a new cancellation rule.
Check before sending your explanation
- The service, price and location match the request.
- The amount stated and expected balance match the booking information.
- The terms are accessible before confirmation.
- No sentence guarantees attendance, revenue or an automatic refund.
- You know where to check the appointment status and where to direct an unresolved question.
