How do you set booking availability when you work alone?

· La rédaction BabaCoiffure

At a glance

To set booking availability, start with the hours when you can actually see a client, not your entire working day. Leave out commitments, breaks and dates you cannot yet confirm, then check that the services offered fit within the remaining windows. BabaCoiffure is a booking tool for independent hair stylists: you define the availability offered on your public profile. This guide helps you prepare those choices, without promising a full calendar.

Which hours can you genuinely offer for appointments?

Start by listing fixed commitments: existing appointments, another job, travel, venue restrictions and personal obligations. Answering messages, buying supplies and maintaining your workspace also count as work, but they are not necessarily hours when you can see a client.

Separate your overall working day from your bookable windows. If you begin with administrative tasks, accepting bookings from that same time can create a commitment you cannot keep. Offer only the periods you can confirm today.

How do you protect a break during the day?

Plan separate windows when your day includes an interruption. Lunch, travel or another obligation is not a gap you need to fill with an appointment. Do not present the entire day as available if you need to leave in the middle.

Check the boundaries of each window against the services you want to offer. Being available until a particular time does not mean every service can start just before it. The appointment-duration guide covers that separate decision; here, the aim is to choose when you are willing to work.

What if your weeks do not follow the same pattern?

Separate stable routines from exceptions before entering your schedule. A day you usually work is not a guarantee that you will be available every week. Keep a list of absences and one-off commitments to check.

If a period remains uncertain, wait until you can confirm it before offering it. Choose a regular time to review upcoming dates. This is an organisational habit, not automatic calendar opening or synchronisation with another calendar.

How should you account for appointments accepted elsewhere?

Before offering new availability, compare it with commitments accepted by phone, message or in person. Choose a reference calendar and check it whenever you confirm an appointment through another channel.

Do not assume a message automatically updates your calendar. Check the times offered to clients after making changes. If a booking already exists, handle that commitment separately: changing future availability must not be described as cancelling or moving that appointment.

What should you check before sharing your BabaCoiffure link?

BabaCoiffure’s public product page describes a journey where clients choose a service and an available time on your profile. Prepare your services, their durations and your availability together. Check the current offers for their conditions; this guide does not describe the options included in each subscription.

Open your public profile and review the dates and times offered for a service. Compare them with your reference calendar, particularly around breaks and unusual working days. Seeing a time lets you check what is offered; it does not prove a booking has been created or that your schedule will remain suitable without another review.

Fictional example: a day with an interruption

You can see clients from 9 am to noon, then from 2 pm to 6 pm. You have a personal commitment in between. Prepare two separate windows rather than continuous availability from 9 am to 6 pm. Then check the times actually offered for each service, without accepting an appointment that ends after your limit. These hours are fictional, not a recommended working-day template.

Your checks before opening availability

  • Existing appointments and personal commitments have been accounted for.
  • Breaks and interruptions are not presented as bookable time.
  • Dates you cannot yet confirm are not offered.
  • Services, their durations and your working windows are consistent.
  • The public profile has been reviewed after changes, without making a test booking in production.

Frequently asked questions

Should every working hour be open for bookings?

No. Your day may also include administration, cleaning or travel. Offer only periods when you can actually provide the services.

How many weeks ahead should I open?

There is no number that suits every business. Start with the period you can confirm and the conditions of your booking tool. Do not open uncertain dates simply to display more availability.

Is a free hour enough to offer a service?

Not necessarily. The service duration must fit within your working window. Check what is offered for that particular service rather than relying on an empty space in your calendar.

Does changing availability move an existing appointment?

Do not assume it does. Availability you want to offer and appointments already accepted are separate matters. Check each existing commitment and speak with the client if a change is needed.
